A Day in the Life of a Virtual Assistant CEO

Hi there! I’m Tory, Founder and CEO of Abloom Assistant, and if you’ve ever wondered what it’s like to run a virtual assistant business (or if you've thought about hiring one), this post might be a fun peek behind the curtain! Each day here is different, filled with new challenges, lots of laughs, and the occasional coffee spill over my planner (no perfect, pristine desk here!). But that’s what makes it exciting—and why I love what I do!

8:30 AM – Coffee, Quiet Time, and Preparation

My day usually starts before the sun, with a cup of coffee and a quick look at my planner. This is the time to set my intentions and go over what needs to get done. The “quiet before the hustle” is important—it lets me catch my breath and gear up to focus on the clients who rely on us. With every entry in my planner, I’m thinking about how we’re helping someone save time, bring their vision to life, or organize the chaos of running a business. That’s why we say, “Where Growth Meets Balance” here at Abloom.

9:00 AM – Team Sync and Strategy

Next, it’s a check-in with our Abloom team, who really make the magic happen. We’re virtual, so everything happens online, and we make the most of our time together. We discuss tasks, upcoming deadlines, and strategies to streamline our services. A huge part of this is making sure our assistants have the tools and resources they need to work seamlessly with clients—whether that means organizing social media content, handling administrative work, or designing fresh website updates. Every client is different, and that variety keeps us on our toes and constantly evolving.

11:00 AM – Emails, Texts, and the “Mini Emergencies”

After our team sync, I dive into client emails, checking in to see what’s new and responding to quick updates or requests. Texts come in steadily (we communicate with clients through TextNow), and it's my priority to address any last-minute needs—these “mini-emergencies” that pop up. It’s all about being flexible and jumping in where clients need us most, whether that’s handling admin overflow or posting that last-minute reel.

1:00 PM – Lunch and a Break from Screens

I try to step away for lunch, even if it’s just a quick bite at my desk. As a virtual assistant, balancing screen time is critical! But my husband, who is an absolute breakfast enthusiast, keeps things interesting—he somehow manages four eggs every morning! We’re all about energy over here, and good food is a must for keeping up with the pace of the day.

2:00 PM – Diving into Client Projects

The afternoon is for getting into deep client work—projects that need focus and time. This can include building content plans, managing client schedules, or creating outreach strategies. Every project is unique to each client’s needs, and the goal is to keep them moving forward, even when the tasks feel endless. Helping business owners, influencers, and executives stay on top of their game means we get creative with solutions, from tackling that endless to-do list to organizing the digital side of their lives.

4:00 PM – Future Planning and Growth

As the day winds down, I carve out time to think about Abloom’s future. We’re always looking for ways to grow and help our clients in bigger, better ways. Whether it’s enhancing our onboarding process, brainstorming new ideas for content, or planning our next blog post (yep, like this one!), it’s all about ensuring we’re adding value and staying in sync with our clients’ needs.

6:00 PM – Wrapping Up and Reflecting

By evening, it’s time to wind down, review the day, and jot down any standout moments—good or challenging. I love reflecting on how each day is different and how much we can accomplish with a small but mighty team. Knowing that we helped a client feel more in control of their workload or supported a business owner’s dream makes every moment worthwhile.
